This policy explains what personal information Trek Up Kilimanjaro collects, why, how long it is kept and what rights you have over it.
Who we are
Trek Up Kilimanjaro operates trekupkilimanjaro.com and is the data controller for information collected through it.
What we collect
- Enquiry and booking details you give us: name, email address, telephone or WhatsApp number, country of residence, travel dates, group size, and anything you choose to tell us in a message.
- Information needed to run your climb: passport details, date of birth, emergency contact, travel insurance policy details, dietary requirements and relevant medical information.
- Technical information collected automatically: pages viewed, approximate location derived from IP address, device and browser type, and referring site.
Health information
Medical details are a special category of personal data. We ask for them only where they affect your safety at altitude or your catering on the mountain, we share them only with the guides and crew who need them to look after you, and we delete them when they are no longer needed for that purpose.
Why we process it
- To answer your enquiry and prepare a quotation — at your request, before any contract.
- To perform the contract once you book: park permits, accommodation, transfers and crew arrangements.
- To meet legal obligations, including park authority and immigration requirements.
- To improve the website, on the basis of our legitimate interest in it working properly.
- To send you marketing, only where you have asked us to. You can stop this at any time.
Who we share it with
We share what is necessary with the national park authorities, accommodation providers, transport operators and our own crew. We do not sell personal information, and we do not share it for anyone else's marketing.
International transfers
We are based in Tanzania. If you are in the UK, the EU or another jurisdiction with data transfer rules, your information will be transferred outside that jurisdiction in order to run your trip, because that is where the trip happens.
How long we keep it
Enquiries that do not become bookings are deleted after a defined retention period. Booking records are kept for as long as tax and accounting law requires. Medical information is deleted once your trip is complete.
Your rights
You can ask us for a copy of what we hold, ask us to correct it, ask us to delete it, object to how we are using it, or ask for it in a portable format. Write to the contact address below and we will respond within the period the applicable law requires.
Security
The site is served over HTTPS, form submissions are rate-limited and protected against cross-site request forgery, and access to booking records is restricted to staff who need it.
